A Signature Is Not Ready Until Fields and Files Match

Refuse the click when a required field is empty, a file is missing or the wrong version, or the meaning of the sign is unspecified. Refuse a shared login. The reviewer is not being asked to certify the laboratory's software program. The reviewer is being asked whether this experiment record is complete enough to carry their name.
21 CFR Part 11 says an electronic signature must include the printed name, the date and time, and the meaning of the signature. Use that as the readiness bar for the record in front of you. It is not a claim that walking this checklist completed Part 11. Software features can support documentation and access control. They do not make the laboratory compliant. SciSure's GxP note says no ELN vendor makes a laboratory GxP compliant by itself. Keep that sentence next to the sign button.
Walk the Record Before You Sign
Walk the entry in this order. Stop at the first fail. Returning the record is a valid outcome.
- Confirm you are on the intended record. Match experiment ID, date, and author to the request you were sent. If the link opened a different page, do not sign the page you landed on.
- Read every required field. Empty required fields are an automatic return. Optional narrative can be thin. Required identity, method version, and result fields cannot be blank because someone is in a hurry.
- Open every attachment named in the body. Confirm the filename or version ID matches the sentence that cites it. A gel image from last week attached to this week's method is a fail even if the picture is pretty.
- Confirm the files still resolve. A broken link, a revoked share, or a "see Slack" placeholder is not an attachment.
- Read the meaning of the signature the system will store — reviewed, witnessed, approved, or another named meaning. If the dialog does not ask for meaning, write the meaning in a required field before you sign, or return the record.
- Confirm the signer identity is yours alone. A shared lab account is a fail. If you are standing in for someone, stop and have that person sign, or record a documented delegation your SOP already allows.
- Sign, or return with a named gap. A return that says "incomplete" without naming the field or file is not a review.
This walk is not the per-entry field-design checklist. That sibling will own how to structure a blank template. Here the template already exists. You are only asking whether this filled instance is allowed to carry a name.
Expected Result and Verification
Expected result: the record is either signed or returned. If signed, the stored signature shows a printed name, a time, and a meaning, and every cited attachment still opens to the named version. If returned, a stored sentence names the missing field, the mismatched file, the missing meaning, or the shared-login problem.
Verification: a second person who was not in the room can open the record and reconstruct the decision without asking you. If they cannot find the meaning of the signature, the sign was not ready. If they cannot open a cited file, the sign was not ready. If the only evidence of a return is a hallway comment, the walk failed.
Common failures: signing to "keep the project moving" with empty required fields; attaching a folder instead of the cited file; using a PI login that several people know; treating a comment "lgtm" as a signature meaning; signing a record whose method version is not the version that was run. Rollback is a return or an invalidated sign per your SOP — not a silent edit of a signed body.
The Checklist Is Not a Part 11 Certificate
Finishing this walk does not complete 21 CFR Part 11. It does not replace IQ/OQ/PQ, an audit-trail program, or training. Those live in a quality system. This page stays at one record.
